Role Overview
This position involves a blend of administrative coordination and data management across various health, safety, and environmental functions. The role requires keen attention to detail, organizational skills, and the ability to manage compliance and audit-related activities efficiently.
Key Responsibilities
- Maintain and update multiple databases, including those in Excel and Word formats
- Support Converge – a compliance tracking system – by allocating tasks, handling queries, processing PPE orders, and organizing training sessions
- Track and update office records related to regional and sales offices, ensuring HSE documentation is accurately logged
- Manage Riskwise, the compliance database, by uploading reports, assigning action items, and ensuring all data is current
- Collect, input, and report environmental metrics such as waste, energy use, and paper consumption
- Retrieve and organize documents from supplier portals as needed
- Coordinate internal meetings including room booking, invitations, agendas, presentations, minutes, and attendance records
- Assist with the internal BSI and Assurity audit program for ISO 45001 and ISO 14001 certifications by arranging pre-audits and audits, processing reports, and maintaining audit trails
- Prepare statistical summaries and regular HSE performance reports
- Provide general administrative support to assist ongoing HSE functions
Desired Experience
- Background in the property or real estate sector (preferred)
- Experience in health, safety, and environmental administrative roles
- Strong communication skills, both written and verbal, with the ability to take clear minutes and track actions
- Proficiency in Microsoft Office with working knowledge of Excel formulas and pivot tables
- Familiarity with compliance databases and audit systems is a plus
